Most heat pump maintenance advice online is padded out to sell you something. The real list is short, and about half of it you can do yourself in a Saturday morning coffee break. Here is what actually matters in a Puget Sound climate, what a professional visit is genuinely for, and where the line sits between the two.
What maintenance actually does
A heat pump is not a mysterious machine. It moves heat with a compressor, a refrigerant loop, two coils, two fans, and a handful of electrical controls. Almost everything that kills one early traces back to one of three things.
- Restricted airflow. A dirty filter or blocked coil forces the system to work against itself. Low airflow raises compressor stress, drops efficiency, and in winter contributes to icing.
- Electrical wear. Loose lugs, a weakening capacitor, a scorched contactor. These are cheap parts that take out expensive parts when they fail unnoticed.
- Refrigerant charge drift. A slow leak doesn't announce itself. It just quietly makes the system run longer for less heat until the compressor pays the price.
Maintenance is not magic and it will not make a 2011 single-stage unit perform like a new inverter system. What it does is catch those three failure paths before they turn into a four-figure repair. In our mild marine climate a well-maintained heat pump typically runs 15 to 20 years. A neglected one often doesn't make it past 10.
The 10-minute homeowner checklist
Do this quarterly. It costs nothing and it prevents more service calls than any product you can buy.
1. Change or check the filter
This is the whole ballgame. A standard one-inch filter needs replacing every one to three months. A thick four- or five-inch media filter runs six to twelve months. Hold it up to a light — if you can't see light through it, it's done.
Don't over-buy on filtration. A very high MERV filter in a system that wasn't designed for it starves airflow and does more harm than the dust it catches. Match the filter to what the system was set up for.
2. Give the outdoor unit two feet of clear space
Western Washington is relentless about this. Blackberry vines, fir needles, cedar debris, salal, bark mulch piled up against the base. That unit needs to breathe on all four sides and above. Pull back plantings, rake out the leaves, and never build a decorative box around it.
3. Rinse the coil
With the power off at the disconnect, rinse the outdoor coil fins with a garden hose. Low pressure, from the inside out if you can reach it. No pressure washer — the fins are soft aluminum and bend permanently. Cottonwood fluff in June and needle drop in fall are the two times this matters most.
4. Check the condensate drain
The indoor coil produces water in cooling season, and the outdoor unit sheds water in heating season. Make sure the indoor drain line isn't backed up and the outdoor unit isn't sitting in a puddle or under a dripping gutter. Gutter runoff freezing onto a heat pump is a specifically Puget Sound problem and it causes real icing damage.
5. Look and listen once a month
You know what your system sounds like. Grinding, screeching, a hard buzz at startup, or a rattle you didn't hear last month is worth a call. So is a steady rise in run time when the weather hasn't changed.
What a professional tune-up covers
This is the part homeowners can't do, and it's the reason an annual visit earns its keep. A real inspection includes:

If a company's "tune-up" is a filter swap and a hose rinse, that's not a tune-up. Ask what gets measured. Numbers on a report beat a checkmark on a clipboard.

Timing: when to schedule
Spring and early fall. March through May and September through October are the calm windows in this trade. In July and January every contractor in the region is triaging emergencies, and you get less schedule flexibility and less of the technician's attention.
If your system only ever gets one visit a year, do it in the fall. Heating is the harder season for a heat pump here, and you'd rather find a weak capacitor in October than during the first hard freeze.
Salt air changes the schedule
Homes in the waterfront pockets — Dash Point, Redondo, Des Moines, Burien, Steilacoom, Gig Harbor, the Tacoma waterfront — deal with airborne salt that corrodes coil fins and cabinet fasteners faster than inland equipment. Two things help: corrosion-resistant coil coatings such as BlueFin or Gold Fin specified at install, and semi-annual maintenance including a fresh-water coil rinse. This isn't upselling; it's the difference between a coil that lasts the life of the system and one that doesn't.
What maintenance can't fix
Honesty is the point of this article, so:
- It can't fix a wrong-sized system. An oversized unit short-cycles no matter how clean it is. That's a sizing problem determined at install.
- It can't fix bad ductwork. Leaky, crushed, or undersized ducts cap your comfort permanently.
- It can't make old refrigerant available. R-22 systems are expensive to service and getting worse.
- It can't buy back a dying compressor. At 12 to 15 years with a four-figure repair on the table, the math usually points to replacement.
Repairs run $150 to $1,500 in standard markets ($175 to $1,800 in affluent, $200 to $2,000 in luxury). Replacement runs $10,000 to $16,000 standard. The bottom line
Filter, clearance, coil, drain, and one honest professional inspection a year. That's the list. Everything beyond it is optional, and anyone telling you otherwise is selling a plan, not a service.
